Online Digital Notary and Apostille

Do you have online digital notarized documents that also require an apostille?

During the Covid pandemic, we have observed a significant increase in the number of US-issued documents that have been notarized virtually by online public notaries. For example, a person can physically be located in Panama, and have a document issued in the State of Texas notarized by a Texas public notary, and submitted for a Texas apostille, without leaving Panama. 

Please note that Global Apostille will not be able to process digitally notarized documents.  All notarized documents received by our office for apostille processing must be original and include the following:

• The original signature of the signer(s)
• The original signature of the notary public
• The original seal of the notary public and/or raised seal
• Proper notarial affidavit for the state

Important! The signer of the document must appear before a notary public in person, no exceptions! So, if you are, for instance, in Florida, you must visit the office of a public notary in Florida and sign your documents in his/her presence. 

Recently, we have seen quite a few online offers to digitally notarize vital records (such as birth, death certificates, marriage certificates, etc.) and obtain an apostille on them outside of their state of issue.  Remember, a notary public can notarize a document ONLY when a person signing it appears in person, and ONLY the State issuing your document can process an apostille on it. Don’t fall for lucrative online offers to notarize your official documents without your presence. This is a fraudulent activity and you can lose time and money by going with these offers. 
 
In the United States, all vital records issued by the County Clerk, Court, State, or/and US Federal Government and intended for use in other countries, must be endorsed by an apostille bearing the signature of the official who is attesting to the document and authenticated with an apostille.  For instance, if you have a birth certificate issued by the state of Georgia, only the Georgia Secretary of State office can process an apostille on your birth certificate. Likewise, since the FBI background check is a federal document, only the US Department of State can process an apostille on it.
 
Obtaining an apostille is a complex process and should always be handled by professionals only. Remember that trusting your important documents to incompetent persons who are unfamiliar with the specifics of each country, may lead you to lost money, and delays of your important business by weeks, or even months.
